Responsibilities

  • Greeting patients and visitors as they arrive at the office.
  • Assisting with patient check-in procedures, including verifying personal and insurance information.
  • Escorting patients to examination rooms and ensuring they are comfortable while waiting.
  • Answering phones and directing calls to the appropriate staff members.
  • Scheduling appointments for patients and arranging follow-up visits.
  • Filing and organizing medical records and other administrative documents.
  • Assisting with basic office tasks such as photocopying, faxing, and scanning documents.
  • Helping to maintain a clean and organized reception area and exam rooms.
  • Providing information to patients about office policies, procedures, and services offered.
  • Assisting with insurance verification and processing claims.
  • Escorting patients to other areas of the facility as needed (e.g., laboratory, imaging).
  • Assisting medical staff with non-clinical tasks, such as preparing examination rooms and stocking supplies.
  • Helping to coordinate referrals to specialists and other healthcare providers.
  • Providing translation services for patients who are not fluent in the primary language spoken at the office.
  • Participating in training sessions to stay updated on office procedures and policies.

Requirements

  • Relevant Experience: Look for candidates with previous experience in healthcare, administration, or customer service. This could include individuals who have volunteered or worked in medical settings, offices, or similar environments.
  • Interpersonal Skills: Assess candidates’ communication abilities, including their interpersonal skills, empathy, and professionalism. Volunteers should be able to interact positively with patients, visitors, and staff members.
  • Reliability and Dependability: Seek volunteers who demonstrate reliability and dependability. They should be punctual, responsible, and committed to fulfilling their duties consistently.
  • Adaptability and Flexibility: Evaluate candidates’ ability to adapt to changing situations and handle multiple tasks simultaneously. Medical office environments can be fast-paced and unpredictable, so volunteers must be flexible and adaptable.
  • Attention to Detail: Assess candidates’ attention to detail and organizational skills. Volunteers will be responsible for tasks such as filing paperwork, scheduling appointments, and maintaining accurate records, so attention to detail is crucial.
  • Confidentiality and Ethics: Ensure that volunteers understand the importance of patient confidentiality and ethical behavior in healthcare settings. They should demonstrate integrity and adhere to privacy regulations at all times.
  • Teamwork: Look for individuals who can work effectively as part of a team. Volunteers will collaborate with medical staff, fellow volunteers, and other office personnel, so the ability to work collaboratively is essential.
  • Availability: Consider candidates’ availability and commitment to volunteering. Determine if their schedule aligns with the office’s needs and if they can commit to volunteering for the required time frame.

Sunday: 10:00 AM – 2:00 PM

Monday – Saturday: 9:00 AM – 6:00 PM
