Responsibilities

  • Answer phones: Professionally and courteously answer incoming calls, providing information, transferring calls, or taking messages as necessary.
  • Make copies: Operate copy machines to reproduce documents, adjusting settings for clarity and quality as needed.
  • File: Organize and maintain physical and digital filing systems, ensuring easy retrieval of documents.
  • Email correspondence: Compose and respond to emails in a clear and timely manner, maintaining professional communication standards.
  • Light typing: Prepare and edit documents such as letters, memos, and reports using word processing software.
  • Some computer use: Perform basic tasks on a computer, such as data entry, internet research, and using office software.
  • Schedule appointments: Coordinate schedules and calendars to arrange appointments and meetings, ensuring all parties are informed.
  • Sign in customers/clients: Greet and assist customers or clients upon arrival, directing them to the appropriate personnel or location.

Requirements

  • Basic Computer Skills: Basic knowledge of computer use and ability to perform light typing tasks.
  • Communication Skills: Good verbal communication skills to answer phones and interact with customers/clients.
  • Organizational Skills: Ability to file documents, make copies, and manage email correspondence efficiently.
  • Time Management: Capable of scheduling appointments and managing tasks effectively within a given time frame.
  • Customer Service Orientation: A friendly and welcoming demeanor to sign in customers/clients and assist them with their needs.
  • Team Player: Willingness to work collaboratively with the office team and follow instructions from supervisors.
